Retail roster template

A store open 9 to 5:30 seven days a week, staffed by a manager, an assistant manager, two sales assistants and weekend cover. Breaks are worked out for every shift and public holidays are marked, which matters in retail more than anywhere.

Weeks run Monday to Sunday. Pick any day and we use its Monday; public holidays follow the week.

The manager opens, the assistant manager closes

The manager is on Monday to Friday from 8:30; the assistant manager works Tuesday to Saturday so a keyholder is in on Saturday. A 9-hour shift earns two paid 10-minute rest breaks and one unpaid 30-minute meal break.

A part-time shift under four hours

The part-time assistant works 11:00 to 15:00: a 4-hour shift earns one paid rest break and no meal break. The moment a shift runs past 4 hours a 30-minute unpaid meal break is due, so an 11:00 to 15:30 shift is 4 hours paid, not 4 and a half.

Weekends need two people

Two weekend roles cover Saturday and Sunday with a full day and a 6-hour overlap through the busy middle. If your Sunday is quiet, drop the second assistant to Saturday only; the totals follow.

Public holidays are marked on the week you pick

Retail often trades on public holidays. The template marks the national ones on the days they are observed; anyone who works one is paid at least time and a half for the hours worked and, if it is an otherwise working day for them, earns an alternative holiday.

Breaks by shift length

Every shift shows the minimum breaks Part 6D of the Employment Relations Act 2000 requires for its length: 2 to 4 hours, 1 paid 10-minute rest break; over 4 to 6 hours, 1 paid 10-minute rest break and 1 unpaid 30-minute meal break; over 6 to under 10 hours, 2 paid 10-minute rest breaks and 1 unpaid 30-minute meal break; 10 to 12 hours, 3 paid 10-minute rest breaks and 1 unpaid 30-minute meal break. Agree the timing with each employee; the Act sets default timings when nothing is agreed.

Public holidays marked

The 11 national public holidays are marked on the days they are observed, including Mondayised dates, for any week from 2024 to 2031. Regional anniversary days are not marked because they depend on where you are; the public holiday planner lists them for 2026 and 2027.

Hours, not dollars

Each role gets a total of paid hours for the week: the rostered time minus unpaid meal breaks. There are no pay rates anywhere in the template, so it can go on the wall or to the team as it is. Does the template cover late-night trading?
Change the closing role’s end time. A shift that runs over 6 hours earns two rest breaks and a meal break, and one of 10 to 12 hours earns three rest breaks and a meal break; the template recalculates from the shift length. What if someone works both a weekday and a weekend shift?
In the CSV, rename the two roles to the same person. In the roster generator, add the person once with all their days ticked; each role here has one start and end for all its days, which is why weekend cover is a separate row.
How are public holidays handled?
The week you pick marks the national public holidays on the days they are observed, from 2024 to 2031, including Mondayised dates. Regional anniversary days are not marked; the public holiday planner lists them for 2026 and 2027.
