Aged care roster template
Round-the-clock cover in three 8-hour shifts, with two carers sharing each shift across the week, a registered nurse on days and kitchen cover. Overnight shifts are handled properly, breaks are worked out for every shift and public holidays are marked.
Weeks run Monday to Sunday. Pick any day and we use its Monday; public holidays follow the week.
Roles stand in for people. Download the CSV and rename them, or build your own week in the roster generator.

Breaks are the Employment Relations Act 2000 minimums for each shift length; agree the timing with each employee. Public holidays are national ones. This is general information, not legal advice. For specific situations, talk to an employment law specialist or your advisor.
How this template is built
Why the week is shaped this way, so you can change it with confidence.
Three shifts, two people each
A 24-hour day is three 8-hour shifts: 7:00 to 3:00, 3:00 to 11:00 and 11:00 to 7:00. Each is split between a Monday to Thursday role and a Friday to Sunday role, so nobody is rostered seven nights and the handovers fall at the same times every day.
Overnight shifts end the next day
A 23:00 to 07:00 shift is shown on the day it starts and marked next day. On the night the clocks change the template measures the real length of the shift, 7 hours or 9, and works out the breaks from that.
Breaks on a care floor
Every 8-hour shift earns two paid 10-minute rest breaks and one unpaid 30-minute meal break. Someone must cover while a carer is off the floor, which is why the registered nurse overlaps the morning shift. Agree the timing with each person; the Act sets default timings only when nothing is agreed.
Staffing levels stay your call
The template is hours and breaks, not a staffing standard. It does not know how many residents you have or what their needs are; add roles in the CSV or the generator to match.
What every template includes
Three things a blank grid does not do for you.
Breaks by shift length
Every shift shows the minimum breaks Part 6D of the Employment Relations Act 2000 requires for its length: 2 to 4 hours, 1 paid 10-minute rest break; over 4 to 6 hours, 1 paid 10-minute rest break and 1 unpaid 30-minute meal break; over 6 to under 10 hours, 2 paid 10-minute rest breaks and 1 unpaid 30-minute meal break; 10 to 12 hours, 3 paid 10-minute rest breaks and 1 unpaid 30-minute meal break. Agree the timing with each employee; the Act sets default timings when nothing is agreed.

The 11 national public holidays are marked on the days they are observed, including Mondayised dates, for any week from 2024 to 2031. Regional anniversary days are not marked because they depend on where you are; the public holiday planner lists them for 2026 and 2027.

Each role gets a total of paid hours for the week: the rostered time minus unpaid meal breaks. There are no pay rates anywhere in the template, so it can go on the wall or to the team as it is. Download it as a CSV for Google Sheets or Excel, print it or save it as a PDF, or have it emailed to you with the CSV attached.

Template questions, answered
- How does the template handle night shifts?
- An end time at or before the start is the next day, so 23:00 to 07:00 is an 8-hour shift shown on the day it starts. The template measures the real length across a daylight-saving change and the CSV records the date the shift starts.
- How many breaks does an 8-hour care shift get?
- Under Part 6D of the Employment Relations Act 2000, a work period over 6 and under 10 hours earns two paid 10-minute rest breaks and one unpaid 30-minute meal break. This is general information, not legal advice. For specific situations, talk to an employment law specialist or your advisor.
- What about public holidays in a 24-hour roster?
- The template marks a national public holiday on the calendar day a shift starts. For a shift that runs across midnight into or out of a public holiday, check how your employment agreements treat it before you roster it. This is general information, not legal advice. For specific situations, talk to an employment law specialist or your advisor.
- Is this a staffing standard?
- No. It is a starting shape: three shifts, two people on each across the week, a day nurse and kitchen cover. Add or remove roles to match your residents and your obligations; the breaks and totals follow whatever you build.
