How it works

From clock-in to pay run in four steps — the hours do the walking.

Staff clock in

Your team clocks in and out on a shared tablet or their own phone, verified by PIN, photo or face, with entries queued locally when the connection drops.

Step 2

You approve the hours

Review the period with break deductions and rounding applied. Only approved, clocked-out entries reach the export file.

Step 3

Export the timesheet CSV

One click writes a header-row file with each person’s external ID, the date and the units worked, one row per shift.

Step 4

Import and map columns

Upload the file in Employment Hero Payroll and match the columns to its import fields. The mapping is remembered for future imports.

What the Employment Hero export covers

Employment Hero Payroll imports timesheets by letting you map columns as you load the file, so Clockie writes a clean, predictable layout. Here is what it contains.

Comma-delimited .csv with a header row, one row per shift, named employment-hero-timesheets-<date>.csv.
Columns written
Employee Code, Date and Units.
Employee matching
The Employee Code column carries each person’s Employee Payroll ID from Clockie, which should hold their Employment Hero external ID.
Dates
Written DD/MM/YYYY in your business timezone, one row per worked day.
Units
Decimal hours for the shift, after your break-deduction and rounding rules have been applied.
Column mapping
Employment Hero’s import lets you map each column to its own fields, so the layout stays workable even as their import screen evolves.
Validation Clockie runs
Only approved entries with a clock-out are exported, and staff without an Employee Payroll ID are named to you before the file is built.

Does Clockie work with Employment Hero Payroll?

Yes. Clockie exports approved timesheets as a CSV carrying employee codes, dates and units, which you upload into Employment Hero Payroll and map to its timesheet import fields.

Which ID should I store against each staff member?

The Employment Hero external ID. Store it as the Employee Payroll ID on the Clockie staff record and it becomes the Employee Code column in the export, giving you a stable key that survives name changes.

Is this a direct API sync?

No, this connection is a formatted CSV export. Clockie does run live API syncs with Xero Payroll and Crystal Payroll, so the underlying machinery exists, but the Employment Hero path today is the timesheet import file.

Do I have to map the columns every time?

No. Employment Hero remembers the column mapping from your previous import, so after the first upload the process is choose the file, confirm, import.

Are breaks and rounding applied before export?

Yes. Units are calculated after your break-deduction and rounding rules run, and only approved entries with a clock-out are included in the file.

What does the Employment Hero export cost?

Nothing extra. Payroll exports are included in every Clockie plan, from $29 NZD per month excluding GST with five staff included, then $2 per extra staff member.
