Breaks are the Employment Relations Act 2000 minimums for each shift length; agree the timing with each employee. Public holidays are national ones. This is general information, not legal advice. For specific situations, talk to an employment law specialist or your advisor.
What goes into the roster
Four things a blank grid does not do for you.
Breaks by shift length
Part 6D of the Employment Relations Act 2000 sets minimum breaks by the length of the work period: 2 to 4 hours, 1 paid 10-minute rest break; over 4 to 6 hours, 1 paid 10-minute rest break and 1 unpaid 30-minute meal break; over 6 to under 10 hours, 2 paid 10-minute rest breaks and 1 unpaid 30-minute meal break; 10 to 12 hours, 3 paid 10-minute rest breaks and 1 unpaid 30-minute meal break. The generator inserts those minimums for every shift. Timing should be agreed with each employee; the Act sets default timings when it is not.

The 11 national public holidays are marked on the days they are observed, including Mondayised dates, for 2024 to 2031. Regional anniversary days are not marked because they depend on where you are. Anyone who works on a public holiday is paid at least time and a half for the hours worked and, if it is an otherwise working day for them, earns an alternative holiday under the Holidays Act 2003.

Each person gets a total of paid hours for the week: the rostered time minus unpaid meal breaks. Rest breaks are paid, so they stay in. There are no pay rates or cost figures anywhere in the output; a roster records who is working when, and hours are what payroll needs.

The roster is built in your browser and never leaves it. If you email the roster to yourself we keep your email address and the number of people and shifts, nothing else.
Roster generator questions, answered
- Is this roster generator really free?
- Yes. It runs in your browser with no account and no card. If you email the roster to yourself we keep your address so we can send it, and we only send you the one roster email if you tick the box.
- How does it work out the breaks?
- From the length of each shift, using the minimums in Part 6D of the Employment Relations Act 2000: 2 to 4 hours earns one paid 10-minute rest break; over 4 to 6 hours adds one unpaid 30-minute meal break; over 6 to under 10 hours is two rest breaks and a meal break; 10 to 12 hours is three rest breaks and a meal break. Shifts over 12 hours are flagged so you can add the further breaks the Act requires. The timing of breaks should be agreed with your employee; if nothing is agreed the Act sets default timings. This is general information, not legal advice. For specific situations, talk to an employment law specialist or your advisor.
- Does it know about public holidays?
- The national ones. Each week marks the observed dates of the 11 national public holidays from 2024 to 2031, including Mondayised dates such as ANZAC Day 2026 on Monday 27 April. Regional anniversary days are not marked because they depend on where your business is.
- Can I bring in the roster I already use?
- Not in this free tool: it builds a week from the names, days and times you type in. Clockie customers can bring in a roster they already have from inside Clockie, on the Roster page.
- What do I get?
- A Monday to Sunday grid with each shift and its breaks in the cell, paid hours per person, and any public holidays marked. Download it as a CSV for Excel or Google Sheets, print it or save it as a PDF from your browser, or have it emailed to you with the CSV attached.
- What does Clockie add to this?
- In Clockie the roster lives next to the time clock, per location. A draft week can start from what your staff actually worked, every proposed shift says why it is there, staff get their week by email or text message, the kiosk shows who is rostered today, and a report compares rostered hours with clock-ins. Rostering is included in every plan, from $29 a month excluding GST.
